When a company user sends a document for review and approval to another Company User, the system will send out an email invitation. The Company User will also receive and in system notification to show which document requires attention.
Any RAMs documents which a company user has been asked to review will be displayed on their Risk Assessment and Method Statement dashboard. There is a separate table at the bottom of the page for "RAMs Documents Awaiting Review".
To review the document, select the action button at the top right of the card. Then select "Review Document".
A preview of the document will then load. The document can be accepted or rejected using the actions at the top right of the screen.
NOTE: A document can only be rejected if a comment has been left on the document
Comment Mode
To leave a comment on the document, select the "Comment" button at the top right. Then select "Add comments".
This will load the "Comment Mode", allowing the user to attach a comment to different sections available throughout the document. Comments are only used if the Company User plans on rejecting the document.
Whilst in "comment mode" the different sections will be highlighted in blue when hovered over. To leave a comment, double click a highlighted area. This will produce a small window where the comment can be left. To save the comment, select the green tick.
After all of the comments have been left on the document, to exit the "Comment Mode", select the "done" button.
As the document now contains a comment, it can be rejected and sent back to the author for updates.
Signatures
If the company user is accepting the document, a window will appear asking for their signature. This can be typed out or a file containing the company users signature can be uploaded instead. Once the signature has been added, to complete the review, select the "Submit" button.
